Five practical ways to use AI in a small business
17 September 2026 · 6 min read
Most of the value of AI for a small business isn't dramatic. It's in removing small, repetitive tasks that add up over a week.
1. Drafting, not deciding
Use AI tools to draft first versions of emails, proposals, website content and social posts. A person still reviews, edits and approves. This alone can save hours each week.
2. Faster enquiry follow up
Automatically acknowledge new enquiries, route them to the right person and remind you when one hasn't been answered. Slow follow up is one of the most common ways small businesses lose work.
3. Summarising meetings and documents
Turn call notes or long documents into short summaries and action lists. Check the output — summaries can miss nuance.
4. Tidying up administration
Connect the tools you already use so information doesn't have to be typed twice: forms into a lead list, bookings into a calendar, invoices into accounting software.
5. Answering common questions
A well maintained FAQ, sometimes supported by a carefully limited assistant, can reduce repetitive questions. Keep a clear path to a real person.
Ground rules
- Don't paste personal or confidential client information into tools without understanding how that data is stored and used.
- Keep a human review step for anything a customer will see.
- Start with one workflow, measure the time saved, then decide on the next.
